A career chair’s guide to alumni mentoring and referrals

How a chapter’s career or professional development officer can connect members with alumni fairly, with individual consent and public job postings.

Start with consent, not a roster

Each member and alum should choose to take part and decide what they share. Do not upload or forward a member list, and check with your advisor and national organization about how alumni contact information may be used. Collect only what a useful introduction needs: name, graduation year, field, city, employer and the contact method each person chooses. Tell people how to be removed, remove them promptly when asked, and review the list each year.

Keep every opportunity public

Alumni help most by pointing members to roles anyone can apply for and adding a note of support. Each employer sets its own hiring process and eligibility; a chapter should never narrow who can apply.

  • Share the public posting link, not a private list of roles.
  • Treat a referral as a note attached to an application anyone could submit.
  • Offer the same help to every member who asks.
  • Do not describe any job, employer event or application route as reserved for members.

Run one shared request log

Before passing on a request, ask the alum whether they are willing to talk, then introduce both people. Keep a simple log of who asked which alum about which opening, so the same person is not contacted by twenty members about one role. Record the date, the public posting link and the outcome the member reports. Pass the log and a short handbook to your successor each year.

Keep it professional and voluntary

Career events should be professional, held at reasonable hours and optional. Taking part must never be a condition of membership, initiation or good standing, and should never involve points, quotas or required attendance. Keep career activity separate from social events.

A small Provyne pilot
